About WeHive

These terms apply to the use of wehive.uk and, when incorporated into a booking, to training supplied by WeHive Partners Ltd, registered in England and Wales under company number 16917810. Our registered office is 591 London Road, Cheam, Sutton, England, SM3 9AG. Contact [email protected] or +44 203 051 6631. “We”, “us” and “our” mean WeHive Partners Ltd; “you” means the visitor or customer concerned.

Website information

We aim to keep course information accurate. If an error in a price, date or description is identified before we accept a booking, we will explain the correction and ask whether you wish to proceed. We will not silently charge a different price. Website information is not a substitute for the written details of an accepted booking. Links to external websites do not make us responsible for their content or separate services.

Permitted use

You may use the website to learn about our services, contact us and make legitimate booking requests. You must not misuse forms, attempt unauthorised access, interfere with security, distribute malicious software or use another person’s identity without authority. We may take proportionate steps to protect the website and its users. Any action affecting a paid service remains subject to the booking and your legal rights.

Which documents form the booking

The agreement consists of these terms, the course or private-training details supplied before acceptance, and our written booking confirmation. A separately signed corporate training agreement takes priority where it expressly varies a matter. Event-specific details govern dates, delivery format, fees, payment deadlines, cancellation arrangements and included resources where clearly supplied and agreed. Mandatory legal rights take priority over conflicting wording.

Booking requests and acceptance

Submitting a registration form or receiving an automatic acknowledgement confirms that we have received a request; it does not by itself confirm payment or an accepted place. A booking is accepted when we issue a written booking confirmation stating that it is accepted. We will provide the applicable terms and event details in a form you can retain. If you book for an organisation or other delegates, you must have authority to do so and provide accurate details.

Fees and payment

The agreed fee, currency, any applicable tax and what is included will be stated before acceptance. Promotional eligibility and cut-off rules must be stated with the offer. Our standard payment deadline is 14 calendar days from the invoice date or before the published course start time, whichever is earlier, unless a different deadline is expressly agreed before acceptance. The invoice must use the same agreed deadline. We do not state that all services are VAT-free or tax-inclusive unless that is confirmed for the booking.

Unpaid bookings

If payment is overdue, we will contact the booking contact. Where justified by the agreed booking terms, we may withhold access until payment is received, after giving reasonable notice where practicable. We will not invent a penalty or change the agreed price. A purchase order is not treated as payment unless we have expressly agreed otherwise.

Delivery and technical access

The course details state the dates, session times and time zones, platform, trainer, format and inclusions. For online delivery you need a suitable device, browser or application, internet connection and access to the designated platform. Joining instructions will explain the requirements. Contact us promptly if you cannot access the service so we can investigate. If a failure within our responsibility prevents material delivery, we will offer an appropriate remedy consistent with the agreement and your legal rights.

Substituting a delegate

For a business booking, our standard is to permit a suitable substitute delegate at no additional administration charge if you notify us before the first session and provide the replacement’s details. Any genuinely necessary course-specific restriction must be disclosed before booking. We will confirm the change and update access appropriately. Access must not be shared informally or used by both the original and substitute delegate.

Cancelling your booking

Send cancellation requests to [email protected], identifying the course, booking organisation and delegates concerned. The cancellation schedule supplied and agreed before acceptance applies, subject to mandatory rights. No course-specific schedule from another event is automatically imported into your booking. Where a boundary is expressed as days before a session, the schedule must define whether it uses calendar dates or elapsed hours and identify the relevant time zone.

Default for business cancellation

If no separate business cancellation schedule was agreed, the default is that any charge will be limited to reasonable, demonstrable net loss directly caused by cancellation, after reasonable steps to reduce that loss, taking account of avoided costs and any replacement booking, and capped at the agreed fee. We will explain the calculation and refund any excess payment. Non-attendance will be assessed under the same applicable booking terms. These terms do not create a blanket “no refunds” rule.

Cancellation or material change by WeHive

If we cancel before delivery, we will offer a refund of the fees paid for the cancelled service; you may choose an alternative offered by us instead. If we materially postpone or materially change the service, we will explain the change and offer the choice of accepting it or cancelling the affected undelivered service for a refund. Credit or a future event will not be imposed as the only option. A comparable trainer substitution or a minor timetable adjustment may be made where the substance and value are maintained, with notice where practicable.

Events outside reasonable control

If circumstances outside our reasonable control affect delivery, we will inform you and take reasonable steps to limit disruption. This does not automatically remove refund or other legal rights. For substantial non-delivery or a material postponement, the choices described above apply. Where a service has been partly delivered, we will address the affected part fairly and preserve any remedy required by law.

Refund handling

Where a refund is due, we will confirm the amount and make it without undue delay, within any applicable statutory deadline. Refunds will normally be made to the original payer using the original payment method, unless another method is agreed and permitted. We do not promise a particular bank processing time or add an undisclosed deduction.

Materials and recordings

Copyright in course slides, handouts, recordings and other resources remains with WeHive or the relevant owner. Subject to the booking, an entitled delegate may use supplied materials for their own learning and reference. You must not republish, resell, upload them to a public or shared repository, distribute them to unregistered people or use them to deliver your own training without written permission, except where applicable law permits. Keep delegate passwords and private links confidential.

Course-specific entitlements

Recording is not included unless expressly stated for the particular course. Any recording, material availability, access duration, expiry and certificate requirements will be explained for that event. We will not use these general terms to promise recordings for every masterclass or to reduce access already agreed. Delegates must not record or redistribute a session without permission. If WeHive records a session, the applicable notice will explain the purpose, audience and handling of participant contributions.

Participation and learning outcomes

Please treat trainers and delegates respectfully and do not disclose confidential business, patient or trial information. We may restrict participation proportionately for serious misconduct or misuse, explaining the reason and considering the circumstances and applicable refund rights. Training provides professional education, not a guarantee of employment, examination success, regulatory approval or a particular business outcome. We remain responsible for delivering the service with reasonable care and skill. Accreditation, CPD hours or professional recognition applies only where specifically and accurately stated for the relevant course.

Consumer cancellation rights

If you buy mainly for purposes outside your trade, business, craft or profession, you may be a consumer. For a qualifying distance service contract, you generally have 14 days after the contract is made to cancel, subject to applicable exceptions. You can notify [email protected] using a clear statement. Where the law requires information, a cancellation form or confirmation, we will provide it in a durable form. Business cancellation provisions do not override statutory consumer rights.

Starting during the cancellation period

If a qualifying consumer service is to start during the statutory cancellation period, we must obtain the required express request and provide the required information. Any charge following cancellation must comply with the rules on proportionate service delivery. Loss of the right after full performance requires the legally required request and acknowledgement. Any separate digital-content supply needs its own applicable assessment and consent process; opening a handout does not automatically remove every right relating to the live course.

Responsibility and disputes

Nothing excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any liability or consumer right that cannot lawfully be excluded or limited. These terms do not impose a blanket liability cap. Any separately negotiated business limitation must be clearly agreed and legally valid. We do not exclude responsibility for our failure to supply the agreed service simply because a trainer or platform is involved.

Complaints and applicable law

Please send complaints to [email protected] with the booking details and the outcome sought. We will investigate and respond within a reasonable time, explaining any next steps. These terms are governed by the law of England and Wales. Business disputes are subject to the courts of England and Wales unless otherwise agreed. Consumers retain any mandatory protections and rights to bring proceedings available under the law applying to them. Privacy choices are governed by our Privacy and Cookie Policies; agreement to these terms is not marketing or optional-cookie consent.

Changes to these terms

The version supplied and agreed when a booking is accepted applies to that booking, unless a subsequent change is expressly agreed or required by law. A later website update does not retrospectively change an existing agreement. New published versions will display an effective date.
